AI Addendum
How WorkSlate's AI-assisted features work, what data they use, limitations, prohibited uses, and your rights regarding automated decisions.

This AI Addendum ("Addendum") supplements the WorkSlate Terms of Service and Data Processing Addendum and governs your use of artificial intelligence, machine learning, and automated decision-making features within the WorkSlate platform (collectively, "AI Features"). By enabling or using any AI Feature, you agree to the terms of this Addendum. This Addendum applies to all Customers and End Users globally, subject to applicable local law.
1. Scope of AI Features
WorkSlate may offer AI Features including, without limitation:
- Automated job scheduling and dispatch recommendations
- Predictive pricing and quote generation assistance
- AI-assisted customer communications (draft messaging, response suggestions)
- Intelligent invoicing and payment follow-up
- Anomaly detection and fraud signals
- Customer churn prediction and re-engagement suggestions
- Natural language search and data query within the platform
- Automated document generation (job summaries, reports)
AI Features may be powered by WorkSlate's proprietary models or by third-party AI providers ("AI Providers"). The current list of AI Providers is maintained at getworkslate.com/legal/subprocessors.
2. Data Used by AI Features
2.1 Input Data. AI Features process Customer Data you provide, including job information, customer records, historical service data, and communications, to generate outputs.
2.2 Output Data. Outputs generated by AI Features ("AI Outputs") are provided as suggestions or recommendations. You remain solely responsible for reviewing, validating, and acting on AI Outputs before use.
2.3 AI Interaction Logs. WorkSlate may retain logs of AI inputs and outputs for up to ninety (90) days for quality assurance, safety monitoring, and debugging purposes. Logs are retained longer only where required for legal, audit, or safety purposes.
2.4 No Training on Your Data Without Consent. WorkSlate will not use your Customer Data to train, fine-tune, or improve AI models operated by third-party AI Providers without your explicit written consent. WorkSlate may use de-identified, aggregated data to improve WorkSlate's own AI systems, provided such data cannot reasonably be used to identify you, your employees, or your End Users.
3. AI Output Accuracy and Limitations
3.1 No Warranty of Accuracy. AI Features are experimental in nature and provided on an "as-is" basis. WorkSlate does not warrant that AI Outputs will be accurate, complete, current, error-free, or fit for any particular purpose. AI Outputs may reflect biases present in training data or model limitations.
3.2 Human Review Required. AI Outputs must be reviewed by a human before being relied upon for any business, financial, legal, or operational decision. You acknowledge that AI Features are decision-support tools, not substitutes for professional judgment.
3.3 No Professional Advice. AI Features do not constitute legal, financial, accounting, tax, or other professional advice. Do not rely on AI Outputs as a substitute for qualified professional consultation.
4. Automated Decision-Making
4.1 Significant Decisions. WorkSlate will not use AI Features to make fully automated decisions that produce legal or similarly significant effects on individuals without providing an opportunity for human review, except where explicitly agreed in writing.
4.2 Right to Human Review. End Users located in the EEA or UK have the right under GDPR Article 22 to request human review of any automated decision with significant effects. Customers are responsible for ensuring this right is honored for their End Users where required.
4.3 Explanation of Outputs. Where technically feasible, WorkSlate will provide information about the primary factors that contributed to a significant AI Output upon request.
5. Prohibited Uses of AI Features
You may not use AI Features to:
- Generate, facilitate, or distribute misleading, deceptive, or fraudulent content
- Engage in discriminatory practices based on protected characteristics
- Violate applicable law, including anti-discrimination law, consumer protection law, or privacy law
- Circumvent safety filters, guardrails, or usage policies of underlying AI models
- Create synthetic or misleading communications purporting to be from a human without disclosure
- Collect, process, or infer sensitive personal data (health, financial, biometric) through AI Features without appropriate consent and safeguards
6. Third-Party AI Providers
Where AI Features are powered by third-party AI Providers (e.g., large language model APIs), your use of those features is subject to this Addendum and the applicable sub-processor terms. WorkSlate evaluates AI Providers against data protection, security, and safety standards and maintains contractual protections requiring providers to process data only as directed.
WorkSlate currently uses the following AI Provider(s): Anthropic (Claude API). This list will be updated at getworkslate.com/legal/subprocessors as providers change.
7. AI Feature Configuration and Opt-Out
7.1 Configuration. Customers may configure or disable certain AI Features through platform settings. Availability of configuration options depends on the subscription plan.
7.2 Opt-Out. Customers may opt out of non-essential AI Features (e.g., AI-assisted marketing communications) at any time through account settings or by contacting support@getworkslate.com.
7.3 Consent-Based Features. AI Features that process personal data for purposes beyond service delivery require separate explicit consent. Such consent is collected at the point of feature activation and may be withdrawn at any time.
8. Intellectual Property in AI Outputs
8.1 Ownership. Subject to applicable law, AI Outputs generated from your Customer Data are provided to you for your use. WorkSlate does not claim ownership of AI Outputs generated from your data.
8.2 No Guarantee of Uniqueness. AI Outputs are generated probabilistically and may not be unique. Similar outputs may be provided to other customers. You should not represent AI Outputs as original creative works without independent verification and modification.
8.3 Third-Party IP. WorkSlate is not responsible for AI Outputs that may inadvertently reproduce third-party copyrighted material. You are responsible for reviewing AI Outputs for potential IP issues before use.
9. Liability for AI Features
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, WORKSLATE SHALL NOT BE LIABLE FOR ANY LOSS, DAMAGE, OR HARM ARISING FROM YOUR RELIANCE ON AI OUTPUTS, INCLUDING INACCURATE, MISLEADING, OR INCOMPLETE OUTPUTS. YOUR USE OF AI FEATURES AND RELIANCE ON AI OUTPUTS IS ENTIRELY AT YOUR OWN RISK. THIS LIMITATION APPLIES IN ADDITION TO THE GENERAL LIMITATION OF LIABILITY IN THE TERMS OF SERVICE.
10. Compliance with AI Regulations
WorkSlate monitors applicable AI regulations and will update its AI practices and this Addendum as required by law. Currently applicable frameworks include:
- EU AI Act (phased enforcement beginning 2024-2026): WorkSlate does not knowingly deploy AI systems classified as "prohibited" under the EU AI Act. Where applicable, WorkSlate will comply with transparency and conformity assessment obligations for high-risk AI systems.
- U.S. Executive Order on AI (October 2023): WorkSlate supports safety, security, and trustworthy AI principles as applicable to our use cases.
- GDPR Article 22: automated decision-making protections for EEA/UK users are described in Section 4 above.
11. Changes to AI Features
WorkSlate may update, modify, or discontinue AI Features at any time. Material changes to AI Features that affect data processing or user rights will be communicated with at least thirty (30) days advance notice.
